Why Shredding Personal Data is Crucial for Schools

A question I get asked every end of term by school staff: “Do we actually need to shred this, or can we just recycle it?”

The short answer: if it contains personal data, you cannot put it in a recycling bin.

Article 5 of GDPR requires that personal data is processed in a manner that ensures appropriate security — including protection against unauthorised access and accidental disclosure. A recycling bin does not meet that standard.

For schools, the categories of documents requiring secure destruction are broad: pupil records, medical and SEND information, safeguarding files, HR records, exam results, financial documents, and any correspondence containing names, addresses, or dates of birth.

The correct process is to use a certified secure destruction provider who can:

  • Collect documents in sealed, secure containers
  • Shred them to an appropriate security level
  • Issue a Certificate of Destruction as an auditable record

That certificate matters. If your school is ever subject to an ICO audit or a data subject access request, it is your evidence that data was handled correctly at end of life.

We work with schools across Lancashire, Merseyside, and Greater Manchester. If you’re carrying out an end-of-term clear-out and you’re unsure whether your current process is compliant, I’m happy to advise.
